Bound the operating task
Provide the relevant records and define what is a draft recommendation versus an approved action. Keep original records intact and ask for an output manifest so you can find the result. Start with file generation and human review before adding any external action through a connected tool. A useful operations deliverable should make exceptions and missing information visible.

- Separate information updates from decisions.
- Allocate time and identify required pre-reading.
A brief you can adapt
Draft agenda.md with objective, item, decision question, owner placeholder and timebox. Move nonessential updates to a reading section.

Review the deliverable
Add the timeboxes and verify they fit the meeting. Check that each decision has the needed evidence.
Where this approach can fail
Do not assume every participant can authorize the decision being discussed.
